‘Ohana Sports Summer Camp: Operational Policies & Safety Handbook

1. Group Structure & Safety Ratios

'Ohana Sports operates exclusively as a multi-age, open-field recreational camp program. To maintain environment safety and liability compliance, our cohorts are structured under strict group limits:

  • Mandatory Group Ratios: Our camp is designed, staffed, and insured for a maximum ratio of 10:1 for campers ages 6 and under, and a maximum ratio of 20:1 for campers ages 7 and older.

  • Independent Participation: All campers must be able to operate safely, cooperatively, and independently within these group peer formats under the supervision of our standard camp coaches.

  • Service Limitations: 'Ohana Sports is not permitted, staffed, or insured to provide continuous 1:1 supervision, individual behavioral isolation interventions, or specialized medical oversight. Registrations requiring resources or supervision ratios beyond our standard capacity cannot be accommodated.

2. Secure Field Access & Outside Personnel Policy

To maintain the physical safety and structural integrity of our camp zones, 'Ohana Sports strictly regulates field access during active programming hours.

  • Authorized Staff Only: The active camp perimeter and training fields are strictly restricted to vetted, background-checked, and contracted 'Ohana Sports personnel.

  • Outside Personnel Restrictions: To comply with liability insurance provisions, outside personnel, third-party aides, school district representatives, or un-contracted behavioral technicians are strictly prohibited from integrating into or accompanying campers during active programming.

  • Parent Access Limits: Parents and guardians are welcome in designated zones briefly during specified morning drop-off and afternoon pick-up windows only. Parents may not remain on the field or trail along with camp groups during active operational hours.

3. Behavioral Standards & Safety Management

We are committed to providing a secure, positive environment for all participants. To ensure the physical safety of our multi-age camper cohorts (ages 4–14) and coaching staff, the following strict behavioral boundaries are uniformly enforced:

  • Prohibited Behaviors: Physical aggression, physical or verbal intimidation, intentional property damage, or elopement (running away from the coaching staff or leaving the designated field boundaries) are strictly prohibited.

  • Immediate Removal Protocol: Any camper who demonstrates behavior that compromises the physical safety of themselves, other campers, or staff members will be immediately removed from the active training zone.

  • Program Dismissal: If a camper's behavioral or safety needs require continuous 1:1 adult intervention to prevent harm or disruption, 'Ohana Sports reserves the right to immediately and permanently dismiss the camper from the program.

4. Uniform Application of Policy

All operational, ratio, and behavioral policies are applied uniformly and consistently to all applicants and participants, without exception.

  • Right of Cancellation: 'Ohana Sports reserves the right to cancel and refund any registration if the program's structural frameworks or facility layouts cannot safely fulfill all camper's operational or safety requirements.

  • Waiver Compliance: As noted on our formal enrollment site, a fully executed Activity Waiver must be on file for each calendar year to maintain an active registration status.
